Keep Asset Meters Up to Date to Ensure Proper Maintenance Scheduling

Keeping your Asset Meters up-to-date is an important part of effective preventive maintenance. Accurate meter readings will help you determine the usage of the asset, and will also ensure that services are scheduled correctly.

PMXpert records asset meters in a couple ways:

First, when you close a Work Order Service, you will typically enter the date and meter of the asset when the service was performed.
Second, when you enter a Cost Record, you will also enter the date and meter at the time the cost is incurred.

In these situations, PMXpert will automatically update the asset’s meter as you record service performance and cost entries.

However, if you want to keep track of meter readings between servicing and costing occurrences, to ensure an even more accurate record of asset usage, you can manually enter the meter readings in the Assets or Meter Update screen.

In the Assets screen, you can update the meter for the one asset you are viewing. Under the History tab in the lower section of the Assets screen, click on the Meter sub-tab and click the New button to the right.
In the Meter Update screen, you can update a meter reading for one asset or update a batch of meter readings for several assets at once. You simply enter the numbers directly into the grid and post the new readings.

How to Reschedule Multiple Services in PMXpert

PMXpert will schedule your planned maintenance services on time, every time, but we understand that sometimes people won't be as reliable. If it's one of those times you need to shuffle services around, there are a couple different ways to easily reschedule multiple services in PMXpert:

In the PM Schedule screen, select the service(s), click the PM Options button and select Reschedule. For more help, see the PMXpert User Manual at Chapter 5: Generate a PM Schedule, Edit and Reschedule Services.
In the Work Orders area, you can reschedule multiple services across multiple work orders. From the Work Orders menu, select Reschedule Services. Choose the services you want to reschedule and select the new scheduled date. For more information, see the PMXpert User Manual at Chapter 6: Work Orders, Reschedule Services in a Work Order.

PMXpert Tip: If you see Red, You Need More Inventory

Handy color-coding in PMXpert's Inventory screen makes it easy for you to see which inventory items need re-ordering.

If the stock for an item drops into negative numbers, the Available column for that item will be highlighted red, which makes your out-of-stock items much easier to spot.

Learn from the Past with PMXpert's Asset History

How do you know if one of your Assets is a lemon? Does it cost too much to keep it maintained or cause more trouble than it is worth? With PMXpert’s Asset History screen, it is easy to check whether you should keep an asset going or put it out to pasture.

In the Assets screen, click on the History tab. Below, you can view detailed records about the asset’s history:

Meter: An Asset's meter readings are updated automatically when a Work Order Service is completed or when a Cost record is entered, but you may also manually enter new readings. All of these readings are recorded in the Asset’s Meter History.
Services: This tab keeps a record of all Services performed on the Asset.
Costs: Costs are further sub-categorized into All, Parts, Labor, Fluid and Other. Click on the tab to view the related costs, and check the Totals along the bottom of the grid.
Procedures: This tab displays all Procedures completed for Services performed on the Asset.
Locations: This tab records all the Locations in which the Asset has been stored.
Purchase Orders: Any Purchase Orders containing items purchased for the Asset will be listed under this tab.

If you want to review all the costs for all of the Assets you operate, go to PMXpert's main History screen and click on the sub-tabs to filter the view for each category: All, Parts, Labor, Fluid and Other.

Make Service Requests More Convenient Online with PMXWeb

Does your department receive a constant stream of service requests day in and day out? Is your day filled with phone calls and notes from people needing things fixed?

Then you need PMXWeb, the online service request intake system integrated with PMXpert Software. PMXWeb will help reduce phone calls and eliminate interruptions while still allowing you to get service requests done when needed.

PMXWeb can be accessed from any Internet browser. To report a problem, simply create a New Request online. If you know the piece of equipment that needs to be fixed, select the Category and Asset from the drop-down lists – no more confusion or follow-up questions.

Is the request extremely high priority or just something that should be done in the future? PMXWeb allows you to select the Priority level for the request. If you need to add more explanation beyond the title of the request, the New Request form has a large Description area for additional notes.

Everyone knows that work moves along more efficiently without frequent interruptions. With PMXWeb, you can now check service requests on your own schedule, instead of on demand of the requester. If you don’t feel the matter is urgent, you can simply assign the problem to the asset and PMXpert can generate the problem on the next service work order.

The requesting individual can also monitor the progress of a request online, instead of bothering the maintenance department with check-in calls. The Request List displays the requests, including their current Status, Priority, Received date and Asset. The requester can click the View button to see additional information, such as Received From, Performed By, Work Order number, Work Order Status and more.

Keep Work on Track with the PM Schedule

Studies show that regularly maintained equipment saves a minimum of 5% of the annual repair and maintenance budget. One of the major features of PMXpert that can help you keep your assets properly maintained is the PM Schedule, which provides a fast and simple way to automatically create all the Work Orders you need.

It is easy to use the PM Schedule. View a range of dates and you will know what needs servicing. Click a button and make all the Work Orders. That’s it! The accurate service scheduling prevents users from accidentally missing a service.

In order to use the PM Schedule, you need to set up your assets with services and ensure that the services are scheduled properly.

When you set up PMXpert, you can create as many services as necessary, such as 3-month service, 3000-mile service, annual inspection, and so on. You can define your own services with your own terminology and choose the Cycle Type on which the service is based: Time, Meter or Meter and Time.

Then, when you enter a piece of equipment into PMXpert, you can assign as many of these services as necessary to the equipment, including any procedures and details you require.

If you have properly recorded the Meter of the asset, the asset’s services will be automatically scheduled at the correct time and pulled into the PM Schedule when due.

Streamline Purchasing with PMXpert's Integrated Inventory/Purchase Orders

Do you keep getting caught short on inventory? You shouldn’t! With the easy-to-use Inventory and Purchase Order features in PMXpert, you will always know what is in stock and how to return stock levels to maximum as soon as possible.

In the Purchase Orders screen, you can generate automatic P.O.s for any parts and fluids in the Inventory that have fallen below a set minimum level. To get this feature working, you just need to adjust a few settings properly.

Go to PMXpert’s Inventory Screen, which displays details of all the parts and fluids you use in your maintenance tasks. When you create or edit an inventory item, you will see the Stock area in the lower left corner of the New or Edit form. Ensure the Controlled checkbox is selected. Enter the Minimum number and Maximum number of this item you want in stock. You can also enter the Current Supplier, if you like.

As you perform day-to-day activities, you will use up inventory items as “Details” in services, and PMXpert will automatically calculate how many items remain in stock. When an inventory item hits its Minimum level, it will trigger an automatic purchase order.

In order to generate this waiting purchase order, go the Purchase Orders screen and click the Generate button. Choose whether you want to generate the P.O. for the lowest-cost supplier or the current supplier set on the inventory item. The purchase order will default to the number of inventory items required to bring the item back to its Maximum number. Now, check the purchase order one more time and click Generate. That’s all!

Wondering whether you need to top up inventory supplies? Simply go to the P.O.s screen and click Generate at any time. If you set up your Inventory with minimum levels and record the use of items in services, PMXpert will take care of the purchase orders or let you know that you don’t need any at this time.

Keep in Touch, Stay Organized with PMXpert's Address Book

PMXpert’s Address Book allows you to record all of your important contact information in one convenient area. Instead of scrambling around for names and information, keeping your contact information organized from the start will pay off in saved time later.

You can enter Companies that belong to any or all of these categories: Suppliers, Locations or Departments. For example, you may need to enter external companies as Suppliers, and create other companies that represent your internal locations and departments.

You can also record People in the Address Book as company contacts or individuals, whether they are internal staff or external contractors. People can be defined as an Operator, or Labor, or both.

In addition to keeping your contact information easily accessible, the Address Book makes it easier to organize other areas of PMXpert.

For example, when you enter Inventory into PMXpert, you can identify an item’s Suppliers by selecting a supplier from a list; this list is automatically generated from companies defined as Suppliers in your Address Book. When you create Purchase Orders, you can also select a supplier from this pre-recorded list.

In another example, when you enter an Asset (piece of equipment) into PMXpert, you can select the default Supplier, Operator, Department, and Location, all from lists pre-defined in the Address Book. When asset services come due in the PM Schedule, you can choose to group generated Work Orders by Operator, Department, and Location, among other choices – PMXpert will look at the default operator, department and location you assigned to each asset.

To view the Address Book, go to the Setup menu in PMXpert and choose Address Book.

Are Downtimes Getting You Down? PMX Can Help

To get the most out of your equipment, it has to actually be available. So - do you ever wonder why certain pieces of equipment seem to be down more than they are up and running?

Well, you can use PMXpert to easily track the Downtimes of your assets, whether they result from scheduled maintenance services or unexpected events.

You can record Asset Downtimes in two different ways.

First, when closing a service in a work order, the Close Service Wizard allows you to record the downtime(s) required by the service.
Second, if the downtime is unrelated to a service, you can record it in the Assets screen under the Downtimes tab.

You can view all of an asset’s downtimes under the Downtimes tab in the Assets screen. In addition to the dates, times and hours of the downtime, you can also record the related Work Order, a Description, and a Downtime Type. You define the Downtime Types in PMXpert, so you can set up as many as you need: Repairs, Scheduled PM, Out of Service, Part Not in Stock, Accident, etc.

PMXpert’s built-in Reports can then help you review the information you recorded.

The Asset Downtime report displays the days of downtime for each asset during a date range you select.
The Asset Downtime Hours report displays the hours of downtime for each asset, including the percentage of time each asset is down.

Once the information is in your hands, you can look for a way to reduce equipment downtime. Perhaps maintenance has to be re-scheduled so that it addresses problems before they arise. Maybe maintenance could be performed more efficiently by linking services together. Perhaps that piece of equipment is just a lemon!

Customizing Services in PMXpert to Suit Your Requirements

One of the major advantages of PMXpert is its flexibility. The main feature that allows PMXpert to adjust to any maintenance requirement is the user-defined Service setup.

When you set up PMXpert for your business, you completely customize the services. You enter and define all service information, so you’ll never have to “make do” with pre-set options that are not quite right, or services you don’t want.

For example, services can be called anything you like and you can create as many as you need. If you want to set up your services on a cycle, you can choose time, a meter or counter (such as an odometer or hour meter), or a combination of meter and time.

Other options are available, such as whether to “Adjust for Downtime” if you want the scheduler to compensate for asset downtime, or “Keep on Schedule” if you want PMXpert to ignore that a service was performed early or late when next scheduling the service.

If you want, you can also Link Services so that two services that occur in the same window will be pulled into the same Work Order, meaning the asset will only go for servicing once instead of several times over a short period.

After creating your services, you can then set up an asset or piece of equipment with as many services as necessary. When you add a service to an asset, you can add even more details to customize the service to your preventive maintenance processes, such as the people responsible for completing the labor, specific procedures that need to be followed, and service details such as parts and fluids required for the service.

How to Get Your Inventory Under Control with PMXpert

Is your inventory disorganized and out of control? Do you have way too many of one item, but are always scrambling to buy another at the last minute?

You should be keeping track of your inventory – it is an extremely important part of running a good business. By recording suppliers’ past prices, you can purchase more efficiently and avoid excess price increases. Your inventory items will always be current, and won’t go to waste.

If you need help organizing your inventory, PMXpert has the tools you need.

First, ensure that all of your inventory items are entered in the Inventory screen, and if they are not, add them now. You don’t need to add a quantity or cost just yet. When all the items are recorded, print the “Inventory Worksheet” report, a handy chart listing all of your inventory items with blank spaces for Stock and Cost.

Now, head out to the shelves and count up your inventory, recording the last cost for each. NOTE: You should either do a stock count on a day when no one will be accessing the inventory, or only do a small batch of items at a time when they won’t be used. Otherwise, you risk having your count becoming inaccurate before you have a chance to enter it in PMXpert.

When you’re done, return to the Inventory screen and click on the Adjustments tab. If this is the first time you have ever created your inventory, you will create an Initial Adjustment. If this is not the first adjustment, you will create a Stock and/or Cost Adjustment. Retrieve the inventory you want to adjust, and enter the correct numbers. After you post the numbers, your inventory for the selected parts/fluids will be set.

Why to set an Inactivity Timeout

PMXpert's system settings allow you to set an Inactivity Timeout so that PMXpert will automatically log out after a set number of minutes of inactivity. You do not need to set an inactivity timeout, but it is highly recommended for two reasons:

It provides extra security for your confidential data, as it will shut down the program if a person is away from his or her computer for an extended period of time.
If you have external backups set up to run after hours and a user accidentally stays logged into PMXpert, the inactivity timeout will log out that inactive user and allow the backups to run.

To set the Inactivity Timeout:

Select Setup - System Settings from PMXpert’s main menu
Click on the General tab.
Under the Options area, in the Inactivity Timeout (Minutes) field, enter the minutes of inactivity after which PMXpert will automatically log out. By default, this will be set to 0 (disabled).
Click Save.

How to Streamline Service Requests with PMXpert

If you want to streamline the service request process at your facility, PMXpert's Service Request Module will help. It allows people to enter requests for asset servicing through emails, which are directed into one central request area for sorting and assigning.

The Service Request Module makes it easier for people to report problems and for the maintenance department to organize requests. Instead of allowing non-technical users to enter information directly into PMXpert, they can simply send an email to the designated request address.

This is convenient for people outside the maintenance department, because they do not need to learn the terminology of your department or the precise name of the asset or service. It is also convenient for you, because you don't have to install PMXpert on their computers or worry about inexperienced, non-technical people messing up your well-organized system.

When you receive the email requests, you simply add them to the central Requests area with a click of the mouse, and enter the relevant information so that it conforms to your facility's process. You set the Priority Level, select the correct Asset, assign the request to a Work Order (new or existing) or complete the request right on the Requests screen.

Don’t want to get caught short on inventory items again? PMXAlerts will send you an email whenever inventory items drop down to reorder levels.

Worried that services are being ignored? You can receive reminder and escalation notices for overdue services.

PMXAlerts can also be configured to let you know when Work Orders are created and closed, and when Requests are created, assigned or performed.

You can also stay in the purchasing loop by receiving notifications when Purchase Orders are created, authorized and received.

Setting up the PMXAlerts Module is quick and easy. In PMXAlerts Settings, simply select the recipients and enter the interval required before and between notifications. The many options ensure that notifications will be sent when you want and to whom you want. The pre-set Messages and Subjects allow recipients to quickly determine what needs to be done when they receive the emails.

Set Status for Rescheduled Work Orders

Schedules don't always work out the way you planned. If you need to reschedule a work order, or several work orders, PMXpert's "Reschedule Services" option makes it easy to do. In the Work Orders screen, select Reschedule Services from the Work Orders menu. Simply choose the services you want to reschedule, and set the date to which they are rescheduled.

Now, a handy new feature allows you to set the status on the Work Orders containing the services you are rescheduling. This may be handy if, for example, Work Orders were of the status "Overdue", but are now no longer overdue because the services have been rescheduled to a later date. You may also want to create a status of "Rescheduled" and apply it to the Work Orders to help you keep track of how many Work Orders are rescheduled and why.

To set a new status for work orders when rescheduling services, click the "Set Status" button in Reschedule Information window. Choose a new status and click OK. Work Orders containing the services you rescheduled will now be set to that status.

Tracking Makes and Models of Assets in PMXpert

With a recent new feature addition, you can now create a master list of Makes and Models in your Lookup Tables. Then, when you create or edit an Asset, it is easy to simply select the Make and/or Model from the drop-down lists.

Keep Internal Departments and Workers Organized with the Address Book

PMXpert has an Address Book that is really handy for recording suppliers and other external contacts, but it is also great for organizing your internal departments. If you enter internal departments, locations, operators and laborers in the Address Book, you will be able to easily categorize assets, work orders, service labor, and so on.

For example, for each Asset, you can define its default Location, Department and Operator. When you assign a service to an Asset, you can set the first and second responsible person from people defined as "Labor" in your Address Book. Services can then be grouped into work orders based on asset, location, department, responsible person, operator, and several other options.

In PMXpert, go to Setup - Address Book in the main menu. You can add your internal locations and departments as Companies, which you classify as "Locations" and/or "Departments" as appropriate. Workers can be added as "Persons", classified as "Operators" and/or "Labor", if applicable.

PMXpert's Recent Trip to IAFE Convention and Trade Show

Our Account Representative, Ken, recently returned from the IAFE (International Association of Fairs and Expositions) Convention and Trade Show in Las Vegas. Not only is Ken the newest member of our Sales team, but this was also his first trade show appearance on behalf of PMXpert Software, so it was a whole new experience for him. However, Ken reported that he had a great time and met a lot of great people.

Vegas was unseasonably cool. (Author's Note: Gee, that's too bad, Ken. Did we mention it was MINUS 17 C [1 degree F] here?)
All of the attendees were really friendly.
There were so many unique exhibitors, everything from butterflies and kangaroos to fire trucks, stilt walkers and hypnotists.
It was great to meet with current customers who dropped by specifically to say "Hi". Our clients had great things to say about our software (which is wonderful to hear), and our software trainer, Carrie, in particular got a lot of compliments.

Minimize downtime and increase efficiency with Linked Services

PMXpert can help you reduce equipment downtime by grouping preventive maintenance activities together with "Linked Services".

When you link one service to another, you set a "Window" of time or meter interval, or both. If the linked service comes due within that window of time/meter, the two linked services will be pulled into the same work order so that both services are performed at the same time. This way, the asset will only go for servicing once, instead of several times over a short period of time.

Ensure all Work Order Steps are Really Done

If you have a specific process for work orders, and you don’t want anyone skipping a step, there are two handy settings that ensure your workers are crossing their t’s and dotting their i’s on every Work Order.

These settings are contained in your System Settings. From your main menu, select Setup – System Settings, and choose the Work Orders tab.

If you want to ensure that all procedures are completed before a Work Order Service is closed, check this checkbox:

"When closing a Work Order Service, require all procedures to be completed"

If you want to ensure that all Services are closed before the Work Order is closed, uncheck this checkbox:

"Allow closing of a Work Order that has open services"

Creating One Work Order per Service on the PM Schedule

In PMXpert's PM Schedule, you can generate work orders that group the scheduled services in almost any way you prefer: by Asset, Asset and Related Asset, Category, Location, Department, Operator, Single Service, Service, Scheduled Date, Responsible Person or All Services.

In the PM Schedule, click "Generate W.O.s" to start generating work orders from the scheduled services. In the "Work Order Generate" window, you can pick an option from the "Generate Work By" list. If you want services separated so that each service gets a work order, choose Single Service.

New Feature: Seeing Red when out of Inventory

A handy new color-coding enhancement in the Inventory screen will make it easier for you to see which inventory items need re-ordering. If the stock for an item drops into negative numbers, the Available column for that item will be highlighted red, which makes your out-of-stock items much easier to spot.

If this new feature isn’t showing up in your Inventory screen, make sure that you have the most recent version of PMXpert Software. Log in to the Support Website and check for the latest release under the Downloads tab.

Is your equipment worth maintaining? Learn from Asset History.

How do you know if one of your Assets is a lemon? Does it cost too much to keep it maintained or cause more trouble than it is worth? With PMXpert’s Asset History screen, it is easy to check whether you should keep an asset going or put it out to pasture.

In the Assets screen, click on the History tab. Below, you can view detailed records about the asset’s history:

Meter: An Asset's meter readings are updated automatically when a Work Order Service is completed or when a Cost record is entered, but you may also manually enter new readings. All of these readings are recorded in the Asset’s Meter History.
Services: This tab keeps a record of all Services performed on the Asset.
Costs: Costs are further sub-categorized into All, Parts, Labor, Fluid and Other. Click on the tab to view the related costs, and check the Totals along the bottom of the grid.
Procedures: This tab displays all Procedures completed for Services performed on the Asset.
Locations: This tab records all the Locations in which the Asset has been stored.
Purchase Orders: Any Purchase Orders containing items purchased for the Asset will be listed under this tab.

Autumn Arrives, along with PMXpert's Software Upgrade

How to create a standing Work Order that is scheduled automatically

If you need a standing work order that reoccurs on a regular cycle, there's no need to manually create that work order every time. PMXpert's automatic schedule generator will take care of that for you once you set it up.

Here's the entire process of setting up an automatically generated service on an asset, right from the bottom up. Each step is thoroughly described in the linked manual section, if you need more help. You probably have a lot of these steps done already, so you should be able to fly through the process.

Create the Service: Go to Setup - Services. In this area, you create all the services you need, regardless of what asset they will apply to. You can set the cycle on which the service will occur: meter (e.g. every 1,000 miles), time (e.g. every month), meter and time (every 3,000 miles or 3 months, whichever comes first), or none (self-explanatory).
Create the Asset: If you haven't already, enter the asset or piece of equipment in the Assets area.
Add the Service to the Asset: In the Services tab of the Asset screen, assign the correct service to the Asset. You will indicate when the service was last performed, who should take care of the service, what needs to be done, what inventory items are required, etc. The "Next Date" for the service will be automatically calculated.
View the PM Schedule: When the service comes due, it will be pulled onto the PM Schedule. The PM Schedule shows services that are due, but not yet assigned to Work Orders. Choose a date on the calendar to see all services scheduled on that day and before.
Generate a Work Order: Click the Generate WOs button. The services will be grouped into work orders according to your choice - by asset, by service, by department, one per service, etc.

There you go!

Best Way to Set Up Inventory - Good from the Get-Go

If you haven't yet set up your inventory in PMXpert, this is a great opportunity to start fresh, the right way. It's always better to take a little time and get things right the first time, instead of rushing through and backtracking.

The recommended way to set up your inventory is to first enter all of your inventory items at once,without concern about current costs or quantities. So, as you fill out the Inventory [New] form for each item, you don't need to enter the Last Cost or Current Stock.

Then, once all inventory items have been entered into PMXpert, go to your physical inventory and find all of the current quantities and costs of your inventory items. If you're lucky, someone already has all of these numbers neatly and accurately recorded somewhere. If not...it's time to count. If you want a handy way to record this information, print out the "Inventory Worksheet". Then (making sure that no one takes an item in the meantime!), create an "Initial Adjustment" in the Inventory Adjustment area of PMXpert. This will set all of the costs and quantities of all items to current values, and keep a record of when you started the inventory.

Set a Default Payment Method for Purchase Orders

PMXpert's system settings are designed to help you set up defaults in the program so that you don't have to constantly adjust information every time you make a record. For example, if you find yourself changing the Payment Method every time you create a purchase order, you need to change your Payment Method default in system settings.

Go to System Settings by clicking Setup - System Settings from PMXpert's main menu. Choose the Purchase Order tab. Under "Purchase Order Defaults", choose the default Payment Method from the drop-down list.

If the payment method you want doesn't appear in the list, it's because you haven't entered it in the Lookup Tables. To add the payment method to the Lookup Tables, go to Setup - Lookup Tables in the main menu. In the upper left corner of the screen, choose Payment Method. Add as many payment methods as you need, and go back to System Settings to choose the default.

Lay down your labor on Labor Day

Ahhh, Labor Day – the bittersweet last gasp of summer before the cool winds of autumn sweep us towards winter. As you relax and enjoy the long weekend, you may ask: What inspired this end-of-summer reprieve from work?

In Canada, Labour Day originated in the 1880s. The Toronto Printers’ Union went on strike in 1872, seeking to reduce their work to 58 hours per week (that’s right – reduced to 58 hours per week). Workers in Toronto marched in a solidarity parade. Prime Minister Sir John A. Macdonald sided with the workers over the employers, and enacted new legislation that legalized union activity. The parades continued as an annual tradition, and Labour Day was legislated as a national holiday in 1894.

In the United States, the first Labor Day was celebrated on September 5, 1882. There is still some debate over who had the idea first. Some sources claim that Peter J. McGuire, co-founder of the American Federation of Labor, witnessed a labour parade in Canada, and brought the idea back to New York. Others say that Matthew Maguire, the secretary of the Central Labor Union, thought it up. McGuire or Maguire – take your pick. In any case, after experiencing violent labor unrest during the Pullman Strike, President Grover Cleveland enacted legislation in 1894, officially creating the national holiday of Labor Day.

Together but Separate: How to Link Assets

You may have some assets that contain parts or components that require maintenance on a separate schedule, for example gauges on a reactor. You want to be able to set separate maintenance schedules for each gauge and the reactor itself, but you want to indicate that all the assets still work together.

To create an association between assets, you can "link" them in your PMXpert Asset database. In the Assets screen, edit an asset you want to link to another asset. In the Edit form, you will see a "Related To" field; click the ellipsis to find and select the related asset.

It's Friday the 13th...

Does this make you nervous, or did you not even notice? If Friday the 13th stresses you out, you are not alone. According to Donald Dossey, the founder of the Stress Management Center and Phobia Institute in Asheville, North Carolina, there is approximately $800-900 million lost in business on Friday the 13th because people won't fly or do business as usual. So where did this fear of Friday the 13th come from? According to Wikipedia, there is no definitive origin of the superstition. It may just be a combination of two other superstitions: 13 is an unlucky number and Friday is an unlucky day.

I figure even if you don't really believe in the Friday the 13th superstition, why risk it? Instead of working on a project that could be tainted by the whiff of bad luck, it's probably better to kick back and relax safely at home. I'm sure your boss will agree!

If you're reading a blog, you're probably technologically competent, so you have probably been using email for a long time. You may think you have this email thing down pat, since experience = wisdom. However, if you want to ensure that you aren't making rookie mistakes, check out this blog post: Organize Anything: Are you getting an "F" in Email? (organizeanything.blogspot.com)

The author makes some excellent points about how to better use and organize email. I laughed when I read about the "secondary “oops” email" people send when they forget the attachment in the first email. I'm guilty of that email fail.

If I could add another "F" to her list, I would say "Font": use professional, clear, easy-to-read font instead of colorful, googly, scripty font with marching ants or blinky lights around it. Also, don't type in all caps or use excessive exclamation points. IT'S LIKE YELLING IN SOMEONE'S FACE!!!!!!!!!!!!!!!!!!!!!!!

Question: How do I change my logo?

The logo that appears on reports is set in your System Settings. To change it, choose Setup - System Settings from PMXpert's main menu. Click on the Logo tab and click the Edit Logo button in the bottom left corner of the screen.

Question: Can I add services to multiple assets?

Yes, you can add a service to multiple assets at once. However, first, you have to assign the service to one asset. You will then copy that assigned service to multiple assets.

Step 1: Add the service to the asset as usual. Review Chapter 3: Assets, Asset Services: Assign Services to an Asset in the PMXpert User Manual if you need some help.

Step 2: Copy the service to other assets. To the right of the Services tab in the middle of the Assets screen, there is a Copy Service button - click it. Now work your way through the Asset Service Copy Wizard. You can choose the service(s) you want to copy and the asset(s) to which you want to add them. For more help, see Chapter 3: Assets, Asset Services: Copy a Service from One Asset to Another in the PMXpert User Manual.

NOTE: It's always a good idea to take a backup of your data before you make a significant change to your records.

Rescheduling Multiple Services in PMXpert - New Options

Schedules don't always proceed as...well...scheduled, so there are a couple of new ways to reschedule multiple services in the PM Schedule or Work Orders in PMXpert.

In the PM Schedule screen, select the service(s) you want to reschedule, click the PM Options button and select Reschedule.
In the Work Orders area, go to the Work Orders menu at the top of the screen and select Reschedule Services. Choose the services you want to reschedule and select the new scheduled date.

Have you said this before? Probably.

Like life in general, PMXpert unfortunately does not have a giant "Go Back in Time" button. We really wish it did. However, there is a near equivalent...

Backing up your data.

If you don't already back up your data, start now. Today. You should backup your data at least once a day, or more, depending on how much information you enter in a day. Also, it's a good idea to create an extra backup every time you undergo a big process that will make a lot of changes. Then, if something goes awry (human error, virus, hard drive crash, etc.), you can simply go back and recover the pre-screw-up data. It's like going back in time and righting wrongs, but without something as cool as the Tardis.

PMXpert doesn't have a built-in backup option because backup software is a specialized area and there are so many different products you can buy or get for free. We'll leave backup software to the backup experts.

We hope our American neighbours are enjoying Independence Day, and are not actually stuck in front of a computer reading this blog post. (You can read it tomorrow).

Just three days ago, it was Canada Day, and we commented on some Canadian traditions. As a Canadian, though, I don't quite feel qualified to comment on Independence Day. What does a typical Independence Day entail - BBQ and fireworks? Parades? I've never been to a Fourth of July celebration, although I've read about them in the Little House on the Prairie books. Also, what is the appropriate greeting, "Happy 4th of July" or "Happy Independence Day?". Let us know.

Use your computer more efficiently

We often complain about computers being soooo slooowww, but perhaps, sometimes, we are the problem? Are you using your computer as efficiently as you can?

If you want to find a way to work a bit more efficiently, check out blogger Ben Martin's six tips for increasing your computer productivity: "Get quicker and faster on your computer: My six productivity-boosting tips".

One of his tips is to have Dual Monitors - I fully agree! Once you have two monitors, you will never go back. In fact, one of our developers actually has four monitors! If you work in multiple programs and need to go back and forth between windows, it is so much more efficient to just look across at another screen, instead of constantly minimizing and maximizing windows.

Tip: Repetitive POs Easy with new Copy Function

Recently, our development team added a cool little feature that makes it really easy to do repetitive purchase orders. This is handy if you find you need to order the same or similar items on a regular basis.

In the Purchase Orders screen, find or create the purchase order you want to copy. Click the PO Options button along the right side of the screen and select New Copy. A new purchase order will be created, with most of the information defaulting from the copied PO, including the items be to ordered. You can add or edit information as you require.

Question: Service vs. Service Type - Difference?

You may have noticed that there are "Services" and "Service Types" in PMXpert. What's the difference?

"Services" are the actual work that will be done, while the "Service Type" is a category under which services can be grouped. It's really just another way to categorize and organize your services. You define both services and service types in PMXpert, so you can customize them for your business as you like.

For example, you could have the following service types: "Emergency/Demand", "PM by Time", PM by Time/Usage", and "PM by Usage". Then, under "PM by Time", you would have services like "Monthly Service" and "Annual Service", and under "PM by Usage" have "3,000 Mile Service" and "7,500 Mile Service". These are just examples of how you could set up service types and services.

Question: Can I Add an Image to an Asset?

Hopefully, you will find them useful - let us know!

So - someone asked, "Can I add an image to an asset?"
You bet!

Go to the Assets area of PMXpert. Find the asset and click on the Attachments tab in the middle of the screen. Add the image as an attachment. Then, to the right of the Attachments tab, click the Main Attachment button. This will set the picture to appear in the upper right corner of the screen (if the window is big enough). You can also print the image on the Asset Snapshot report.

Okay, where is that really, really important document?

Have you ever wasted a few hours hunting around for a really important piece of paper? A receipt you misplaced, perhaps, or a certificate that you are sure you filed? If you have, you know that disorganized paperwork can waste a lot of valuable time that could be used for real work.

In PMXpert, you can scan important papers into your computer and add them as attachments to your equipment, inventory items, purchase orders and work orders. This could include documents like diagrams, photos, special instructions, certificates, and more. Some user manuals already come in PDF format, or are posted on the company website; in this case it is easy to attach the PDF or a link to the website.

Using attachments doesn't eliminate paper, since you may want to keep hard copies of the documents, but at least you'll have a copy of the document somewhere and it is now easy to retrieve (clicking a mouse instead of rummaging through the filing cabinet).

To attach documents in PMXpert, go to the area where you want to attach the document: Assets, Inventory, Purchase Orders or Work Orders. Find the item to which you want to add the attachment and click the Attachments tab. For more assistance, you can always check out our PMXpert User Manual - look up "Attachments" in the Index.

How Can a Schedule Save You Money?

Studies show that regularly maintained equipment saves a minimum of 5% of the annual repair and maintenance budget. Accurate Usage and Scheduling with Meter Updates

In order to accurately determine the usage of your equipment, and therefore schedule preventive maintenance at the optimum time, you need to keep your Equipment Meters up-to-date. PMXpert allows you to record asset meters in several ways, ensuring that your meter data is accurate.

Some meter updating is incorporated into your day-to-day processes. When you close a work order service or enter a cost record, you typically enter the date and meter reading at the time of the event, and PMXpert will use that data to automatically update the asset’s meter. If you want to keep track of meter readings between servicing and costing occurrences to ensure an even more accurate record of asset usage, you can also manually enter meter readings for assets, individually or in batches. An asset’s meter readings, including the dates, readings and differences, are all stored for easy viewing access in the Asset’s History.

Track Asset Depreciation
